About TIHAN
TiHAN IIT Hyderabad established at IIT Hyderabad under the National Mission on Interdisciplinary Cyber-Physical Systems (NM-ICPS), by the Department of Science & Technology (DST), Government of India. TiHAN focuses on Autonomous Navigation and Data Acquisition Systems (e.g., UAVs, ROVs), and serves as a premier Technology Innovation Hub in this domain.
Role Overview
The Senior Assistant Officer will be responsible for supporting and managing the administrative, operational, and coordination activities of the Hub. The role involves close interaction with internal and external stakeholders, including industry, government agencies, vendors, and R&D organisations, ensuring smooth day-to-day functioning in compliance with institutional policies, SOPs, and government norms.
The selected candidate will work closely with the Directors, Executives, project teams, and external stakeholders.
Qualifications
- B.E. / B.Tech / Master's degree viz., MBA, M.COM or equivalent in any discipline with a minimum of 60% marks or an equivalent grade.
Experience
- Minimum 10–12 years of relevant experience in CFTI / relevant organization in administrative, operational, or coordination roles.
Compensation
- INR 8 to 9 Lakhs per annum. Consolidated remuneration may be negotiable for deserving candidates, in line with industry standards.
Key Responsibilities
Administrative & Operational Management
- Oversee and support day-to-day administrative and operational activities of the Hub.
- Manage facility operations, office administration, and infrastructure coordination.
- Maintain office calendars, schedules, appointments, and coordination of travel and accommodation arrangements.
- Support organization of in-house, local, national, and international meetings, workshops, expos, review meetings, and other Hub-related events.
- Undertake routine administrative activities and ensure smooth office operations.
Liaison & Coordination
- Act as an internal liaison with IIT Hyderabad faculty, departments, and administrative offices.
- Act as an external liaison with industry partners, vendors, financial institutions, R&D organizations (public and private), government agencies, and other stakeholders of the Hub.
- Facilitate effective communication and coordination among all stakeholders.
Procurement & Vendor Management
- Assist and coordinate procurement processes in compliance with institute policies and government norms.
- Collect quotations, prepare comparative statements, and assist in purchase processing.
- Coordinate procurement of office equipment, stationery, consumables, utilities, and other required services.
- Maintain regular communication with vendors and service providers.
- Support contract administration and assist in vendor negotiations related to pricing and services.
Finance, HR & Compliance Support
- Assist in finance-related administrative activities, including budgeting, expense tracking, utilisation certificates, and periodic financial reports.
- Support recruitment processes, onboarding activities, and HR coordination as required.
- Address employee queries related to office administration, facilities, and operational matters.
- Assist in the preparation and maintenance of audit-related documents, compliance checklists, statutory records, and inspection requirements.
Documentation, Reporting & MIS
- Maintain systematic documentation, filing systems, registers, and logs related to administration and facilities.
- Prepare, update, and maintain Management Information System (MIS) reports.
- Support preparation and submission of periodic reports to DST, institute authorities, governing bodies, and other funding or regulatory agencies.
Team & Process Development
- Promote and contribute to a safe, secure, and professional working environment for staff and vendors.
- Guide, support, and assist junior administrative staff in day-to-day functions.
- Ensure adherence to SOPs, institutional policies, and established industry best practices.
Any Other Responsibilities
- Undertake special assignments and additional responsibilities entrusted by the management from time to time.

- Willingness to travel as per organisational requirements.
- Work knowledge on MS Office tools, Tally ERP.
